Uploading a document

Use Upload Document to add a new training record or certificate — for example, a course certificate, licence or medical — so it can be added to My Records.

To open it, tap Upload Document in Quick Actions, or tap Upload document in the menu.

1. Enter the record information

  • Record Type – tap the dropdown and select the type of record you're adding. Required.
  • Performed Date – tap the calendar and pick the date the training was completed or the certificate was issued. Required.
  • Set expiry date – tick this box if the record has an expiry date, then pick the date in the field that appears. Leave it unticked if the record doesn't expire.

2. Add the document

Tap Choose Files to Upload and select how you want to add the file:

  • Take Photo – use your iPad's camera to photograph the document.
  • Choose from Library – pick an image saved in your Photos.
  • Select PDF – choose a PDF or other file from Files.

Multi-page documents: Each record holds one file, and Crewdox can't combine several photos or files into one. If your document has more than one page — for example, the front and back of a certificate — scan it into a single PDF first using a scanner app (the iPad's built-in Files or Notes app can do this), then use Select PDF to upload it.

3. Submit

Once you've selected a record type, set the performed date and added a document, the Submit Record button becomes available. Tap it to send the record.

If you're online, the record is sent to your organisation straight away. If you're offline, it's saved on your iPad and sent automatically when you're next connected. See How sync and offline use work.

To leave without saving, tap Cancel or Back.

What happens next

Your submission goes to an administrator for approval. It won't appear in My Records until it has been approved, and you won't receive a notification, so don't worry if you don't see it straight away. If it hasn't appeared after a few days, contact your administrator.

Tips

  • When photographing a document, use good light and make sure all text is readable before submitting — unclear documents are more likely to be rejected.
  • If the record type you need isn't in the list, contact your administrator.
